Case Study · CS-01

Preparation engagement for a multi-institution estate, Melaka — 2025

Situation

A family dealing with an estate that included a house, a joint bank account, EPF savings, a life insurance policy and a vehicle. Five institutions had to be approached in sequence. The family had located most of the relevant documents but had no system for preparing the submission sets or coordinating attestation.

What we did

Prepared five separate document sets, one for each institution, in the order each typically requests. Arranged two attestation sessions at a commissioner for oaths in Melaka town. Maintained a correspondence log tracking what had been sent to each institution and when responses were expected.

Outcome

All five institutions received their document sets within the eight-week engagement window. The family reported that the process felt manageable once the preparation work was handled. The closing file gave their solicitor a clear record of what had been submitted and when.

Case Study · CS-02

Multi-generation registry build for a Peranakan family, Melaka — 2024–2025

Situation

A family with records spanning four generations held in three locations in Melaka — some in Jawi, some in Chinese characters and some in English. No consistent numbering or naming system existed. The eldest daughter was concerned that she was the only family member who knew where everything was and what it meant.

What we did

Built a full registry across all three locations. Developed a reference convention that works regardless of the document's language. Conducted five oral history recording sessions across three family members. Held three facilitated meetings to bring the eldest daughter's two younger siblings into the system. Produced a custodianship protocol in plain English with a glossary of the reference codes.

Outcome

The registry was delivered with 312 catalogued items, six hours of recorded oral history, and a physical set in acid-free storage at the family home. All three siblings attended the final handover meeting. The custodianship protocol was described by the family as something they would have paid for on its own.

Case Study · CS-03

Retention sheet prior to estate planning, Melaka — 2025

Situation

A couple in their early sixties approaching an estate planning appointment with a solicitor realised they had no clear list of what documents they held, what the retention periods were, or whether anything was missing. They wanted a reference document before the appointment.

What we did

Completed the retention sheet engagement in eight working days. Identified seventeen document categories across the household. The gaps list flagged a missing insurance policy and a land title known to exist but not located. The storage location map showed that the couple held documents in four separate locations in the home.

Outcome

The couple attended their planning appointment with a clear written list of what they held, where it was kept, and what was missing. Their solicitor described the retention sheet as the best-prepared starting point they had seen from a client that year. The missing insurance policy was later located in a safe deposit box the couple had forgotten about.
