Scope defined before work begins
Each engagement is described in writing. You know what is included, what is not, and what the output will be — before you commit.
Stated, realistic timeframes
Ten working days for the retention sheet. Eight weeks for the preparation engagement. Four to five months for the registry build. Timeframes set in the opening document.
Written outputs, not verbal briefings
Retention sheets, status notes, closing files and custodianship protocols are all produced as written documents you can refer to after the engagement ends.
Local knowledge of Malaysian documents
Based in Melaka, familiar with the mix of language and format that appears in Malaysian family archives — Jawi, Chinese characters, English and Romanised Malay.

A clear process with no ambiguity
Each engagement follows a written process agreed at the start. For the preparation engagement, fortnightly written notes keep the family informed throughout the eight-week period. Nothing is done informally or communicated only verbally. The process produces a paper trail that is itself part of the service.

Enquiries are typically answered within two business days. Before any engagement starts, a written proposal is sent that describes the scope, timeline and price. During the work, the only surprises should be positive ones. If an issue arises that requires more time, the client is told in writing before any deadline passes.

Transparent, all-in pricing
The fee listed for each engagement covers the scope described. Third-party costs — government office copy fees, attestation charges, travel beyond Melaka — are identified and set out separately before work begins, not added to the final bill. There is no ambiguity about what the price includes.

The multi-generation registry build is not designed to solve the current estate administration and then become redundant. The stable reference convention, the custodianship protocol and the oral history recordings are all built to remain useful in twenty or thirty years. That long view is written into the scope of the engagement, not offered as a vague aspiration.

Up to six hours of recorded oral history, captured and indexed as part of the registry. This is context that no document can carry — who these people were, what the items meant, why certain papers were kept.
Stable reference convention that works without us
The naming system used in the registry is documented plainly in the custodianship protocol. Future holders of the registry can add to it, search it and maintain it without needing to contact Threadstone.
Facilitated family meetings as part of the registry build
Three facilitated meetings are included in the registry build. These exist specifically to bring more than one family member into the system — so the registry is not a single person's knowledge, but a shared resource.
A service that does not cross into regulated territory
Threadstone stays firmly within the clerical and organisational role. We do not provide legal advice, interpret documents, or represent clients. That constraint means we work well alongside solicitors, estate administrators and financial advisors — not in competition with them.
